Vendors

• Contract Agreement: This registration constitutes a contract between the vendor/exhibitor and Southwest Virginia Pride, Inc.

• Forfeiture: Any exhibitor or vendor who fails to set up for the event shall forfeit their space; no refund will be given.

• Weather Policy: No refunds will be issued due to poor weather conditions.

• Registration Deadline: Registration must be submitted by September 23, 2026, or while space allows.

• Space Assignment: Each non-profit and for-profit space will be a 10-foot space. Food truck space will be arranged individually.

• Arrival Times: Vendors will be assigned an arrival time. You must adhere to it or risk being turned away.

• Food Truck Info: Food trucks must provide truck length on registration for proper space allocation.

• Equipment: Vendors may provide their own tables, chairs, and canopy.

• Power Requirements: Limited electricity is available for an extra $50 (can be added at checkout).

• Clean-Up: Vendors are responsible for cleaning their area during and after the event.

• Event Hours: SWVA PrideFest will be held from 12:00 PM – 5:00 PM. Vendors are expected to remain for the entire event unless prior arrangements are made. Please do NOT begin break down until after 5:00. Vendor arrival times may begin as early as 7:00 AM.

• Changes to Contract: Southwest Virginia Pride, Inc. reserves the right to make changes to this contract as needed.

• Final Sales: All payments are final.

• Merchandise Disclaimer: We cannot guarantee that another vendor will not sell similar merchandise.
